Office Chair Setup Guide: Seat, Back, Arms, Desk and Movement

A chair cannot fix a desk that is too high, a screen that pulls the head forward or a day with no movement. Fit the entire workstation, then keep changing position.

Treat the workstation as a connected system

Chair fit is relational. Seat height changes the elbow's relationship to the keyboard. Desk height changes whether the shoulders rise. Screen distance changes whether the head moves forward. A footrest can solve unsupported feet when a fixed desk forces the chair higher. Adjust one variable, observe the others and keep the task itself in view.

OSHA's computer-workstation guidance emphasizes neutral, supported working positions and adjustability rather than one frozen pose. Neutral is not military attention. The head stays reasonably balanced, shoulders relaxed, elbows near the body, wrists close to straight and feet supported while the user can still change position.

Start with the work actually done: prolonged typing, mouse-intensive editing, handwriting, video calls, drawing, multiple screens or frequent standing. A setup optimized for ten minutes of email may fail during hours of floor-plan work or document review. List the longest and most precise tasks before touching a lever.

Set seat height and depth from the floor upward

Raise or lower the chair until the feet rest fully on the floor and the thighs are supported without concentrated pressure. Knees should have comfortable clearance and the user should be able to enter and leave the chair easily. If the desk requires a higher chair to keep elbows near the input surface, use a stable, appropriately sized footrest rather than leaving feet dangling.

Seat depth should support much of the thigh while leaving clearance behind the knees. A deep seat can push a shorter user forward and eliminate back support; a shallow seat can concentrate pressure and feel unstable. Test any sliding seat-pan adjustment through its full range and make sure it locks without shifting during normal movement.

Check width, edge shape and upholstery after several seated minutes. The hips should fit without side pressure, pockets should not carry a hard wallet or tools into the body, and the front edge should not create a sharp contact point. A soft seat is not automatically supportive, while very firm or deeply contoured foam can become restrictive for some bodies and tasks.

Use the backrest and recline instead of posing above them

Sit back far enough for the backrest to participate. Adjust lumbar support so it follows the user's lower-back contour without creating a hard pressure point or forcing an exaggerated arch. Because bodies and clothing vary, a prominent fixed lumbar shape can be less adaptable than a modest adjustable one.

Set recline resistance so leaning back is controlled and returning upright does not require a fight. A small change in recline can redistribute load during reading or calls, but the keyboard and screen still need to remain usable. Locking the chair at one exact angle all day sacrifices the movement that adjustability is meant to provide.

Headrests are task- and body-dependent. They may support the head during reclined reading, yet can push the head forward when badly positioned. Confirm height, depth and usable contact in the intended recline. Do not buy a headrest only because it makes a chair look more executive.

Set the arms, desk, keyboard and pointer together

Armrests should allow the shoulders to relax and elbows to remain near the body. Too high can shrug the shoulders; too low may encourage leaning; too wide can pull the arms outward. If the rests collide with the desk and prevent close approach, lower, narrow, shorten or remove them as the manufacturer permits rather than reaching forward all day.

Bring the keyboard and primary pointing device close enough that the upper arms remain near the torso. Keep frequently used controls on the same level when practical. Thick desk edges, drawers and keyboard trays can reduce thigh clearance or force a high surface. Measure underside clearance, not only the advertised desktop height.

Wrist rests are for pauses, not a place to press the wrists while typing. Keep wrists reasonably straight and use light contact. A mouse shape or trackball is not universally ergonomic; hand size, grip, task, button force and switching ability matter. If one device creates symptoms, reduce exposure and obtain qualified guidance instead of collecting increasingly exotic hardware.

Place the screen for the eyes and the work

Center the primary screen in front of the usual seated position. Place it at a distance that allows text to be read without leaning or squinting, then adjust text size and application scaling before pulling the face toward the display. The top region of the screen is often at or slightly below eye level, but bifocals, progressive lenses and other vision needs can require a lower position.

For two screens, let task frequency decide. Center the dominant display and angle the secondary one close beside it. If both are used equally, center the seam and reduce repeated extreme turning. Laptop-only work benefits from a stand plus separate keyboard and pointer when the session is long enough that screen and input height should be separated.

Control glare with screen orientation, blinds, task lighting and brightness appropriate to the room. Do not solve reflections by twisting the body or craning the neck. Keep reference material near the screen with a document holder when repeated viewing would otherwise create constant head movement.

Buy for fit, then keep moving

Before buying, record user height range, seat-height need, seat depth, hip clearance, desk clearance, armrest range, floor type and the longest task. Read the exact model manual and warranty. Confirm replacement parts, return shipping, assembly responsibility and whether opened or assembled furniture can be returned. Published maximum load is a safety specification, not proof of comfort or long-session fit.

Try the chair for long enough to use the adjustments and perform real tasks. Verify that controls can be reached while seated, the base remains stable, casters suit the floor and nothing shifts, pinches or produces sharp edges. A chair marketed as gaming, executive, orthopedic or ergonomic still has to fit the person, desk and work.

No chair eliminates the need to change position. Alternate focused sitting with brief standing, walking or a different task as work allows. NIOSH describes ergonomics as fitting work to people and reducing risk factors, not treating symptoms after they appear. Seek occupational-health, medical, vision or physical-therapy assessment for persistent pain, weakness, numbness, swelling, loss of function or symptoms that radiate.

How high should an office chair be?

Should knees be exactly at 90 degrees?
